How we collect, use, hold and disclose your personal information when you use our Website and Services.
Effective date: 19th October 2026
1. About this policy
Solar Sam helps Australian homeowners and businesses get quotes for solar panels, home batteries and related energy products by connecting them with accredited installers. Solar Sam is a trading name of Prestige Leads Group Pty Ltd (ABN 93 703 151 884) ("Solar Sam", "we", "us" or "our").
This policy explains how we collect, use, hold and disclose your personal information when you use solarsam.com.au (the "Website"), our quote forms, calculators, advertising, phone and SMS services (together, the "Services"). We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), and we handle personal information in line with them.
By using the Services or submitting your details, you acknowledge that you have read this policy and consent to us handling your information as described here — including passing your details to solar and battery installers so they can contact you with a quote.
2. Information we collect
You can browse the Website without telling us who you are. To get a solar or battery quote, we ask for the details installers need to assess your property and prepare a quote:
Type
Examples
Contact details
Name, phone number, email address
Property details
Street address, suburb and postcode, property type (house, unit, commercial), roof type and orientation, storeys, shading
Ownership
Whether you own or rent the property
Energy details
Quarterly or monthly electricity bill amount, energy retailer, usage habits, whether you already have solar or a battery
Purchase preferences
System size, battery interest, EV charger interest, budget, timeframe, interest in finance options
Communications
Call recordings, SMS and email replies, notes from conversations with our team
Technical data
IP address, device and browser type, approximate location, pages visited, ad clicked and campaign source
If you upload an electricity bill, it may also show your account or NMI (meter) number. We use it only to assess your energy usage for a quote.
We do not ask for sensitive information (such as health or religious information). You can choose not to give us some details, but we may then be unable to match you with an installer.
3. How we collect it
We collect personal information directly from you when you:
complete a quote form, savings calculator or survey on the Website or a landing page
submit a lead form on Facebook, Instagram, Google or another advertising platform
call us, reply to our SMS or emails, or speak with our team
We also collect technical information automatically through cookies, pixels and similar tools (see section 8). Occasionally we may receive your details from a partner installer or marketing partner, where you have agreed to that partner sharing them with us.
4. How we use it
We use your personal information to:
1assess your enquiry and confirm your details are accurate and you are a genuine enquirer
2match you with one or more solar, battery or energy installers servicing your area
3contact you by phone, SMS or email about your quote request
4provide general information about solar, batteries and government incentives (such as small-scale technology certificates and battery rebates) — this is general information only, not financial advice
5send you marketing about solar and energy products, where permitted (see section 6)
6measure and improve our advertising, Website and Services
7keep records, handle complaints and comply with our legal obligations
5. Who we share it with
Solar Sam is a quote-matching service, not an installer. When you request a quote, we disclose your contact, property, energy and preference details to one or more independent solar, battery and energy businesses ("Installer Partners") so they can contact you, assess your property and quote. Installer Partners pay us a fee for each enquiry we refer.
We aim to work only with Installer Partners who hold relevant licences and accreditation (such as Solar Accreditation Australia accreditation). Once an Installer Partner receives your details, their handling of your information is governed by their own privacy policy, and any quote or contract is between you and them.
We may also share personal information with:
Service providers who help us run the business
CRM and marketing automation (such as GoHighLevel), lead-distribution software, cloud hosting, phone, SMS and email providers, and payment processors
Advertising platforms
Meta and Google, to measure ad performance and reach similar audiences (usually in hashed or aggregated form)
Related entities
Within Prestige Leads Group Pty Ltd
Professional advisers, regulators, courts or law enforcement
Where required or authorised by law
A buyer of our business
If all or part of it is sold, on the condition that they handle your information consistently with this policy
We do not sell your information to data brokers or list sellers.
6. Calls, SMS and marketing
By submitting a quote request, you consent to Solar Sam and our Installer Partners contacting you about that request by phone, SMS and email, even if your number is listed on the Do Not Call Register. This consent applies to the enquiry you made.
We may also send you marketing about solar, batteries and other energy products. All commercial emails and SMS from us comply with the Spam Act 2003 (Cth), identify Solar Sam, and include a simple way to unsubscribe.
You can opt out at any time by replying STOP to an SMS, clicking unsubscribe in an email, or contacting us (section 10). Opting out of our marketing does not stop an Installer Partner who already has your details; please contact them directly as well. Calls may be recorded for quality, training and compliance — we will tell you at the start of a recorded call.
7. Overseas disclosure
Our Installer Partners are based in Australia. However, some of our software and service providers (including CRM, cloud hosting, SMS and advertising platforms) store or process data outside Australia, mainly in the United States. We take reasonable steps to ensure these providers protect your information consistently with the APPs.
8. Cookies, pixels and advertising
The Website uses cookies and tracking technologies, including the Meta Pixel, Google Analytics and Google Ads tags. These help us remember your form progress, understand how visitors use the Website, measure which ads lead to quote requests, and show you relevant ads on other sites and apps.
These third parties may collect information about your activity across different websites. You can block or delete cookies in your browser settings, adjust your ad preferences in your Meta and Google accounts, or opt out of Google Analytics using Google's browser add-on. Some parts of the Website may not work properly without cookies.
The Website may link to third-party websites, such as installer, manufacturer or government rebate sites. We are not responsible for their privacy practices.
9. Storage, security and retention
We store personal information electronically with reputable cloud providers and use reasonable administrative, technical and physical safeguards to protect it from misuse, loss and unauthorised access, including access controls and encrypted connections. No transmission over the internet is completely secure, so we cannot guarantee the security of information you send us.
We keep personal information only as long as needed for the purposes in this policy and our legal and record-keeping obligations — generally up to 5 years after our last contact with you. After that, we securely delete or de-identify it.
Data breaches.
If a data breach is likely to result in serious harm to you, we will notify you and the Office of the Australian Information Commissioner (OAIC) as required under the Notifiable Data Breaches scheme.
10. Your rights, complaints and contact
Access and correction.
You can ask to see the personal information we hold about you, or ask us to correct or delete it. We will respond within 30 days. We may need to verify your identity first, and in limited cases the law allows us to refuse access; if so, we will tell you why.
Under 18s.
Our Services are for adults who own or make decisions about a property. We do not knowingly collect information from anyone under 18. If you believe a minor has submitted details, contact us and we will delete them.
Complaints.
If you think we have breached the APPs, contact us in writing. We will acknowledge your complaint within 7 days and aim to resolve it within 30 days. If you are not satisfied, you can complain to the OAIC at oaic.gov.au or on 1300 363 992.
Changes to this policy.
We may update this policy from time to time. The current version will always be on the Website with its effective date. We will not use information you have already given us in a materially different way without your consent.
